Proof of Address for a US LLC: banks and fintechs

Separate the registered office, operating location, mailing address and owner residence, then match each one to evidence the receiving provider accepts.

A US LLC can have several legitimate addresses at the same time. Its state record may show a registered office, its owner may run the company from another country, customer mail may go elsewhere, and a bank may ask for the physical location where decisions are made. A strong application does not force those addresses into one field. It explains what each one is for and supports it with the right evidence.

That distinction matters because “proof of address” is not one universal document. Formation papers can support a registered address, but they may say nothing about day-to-day operations. A personal bank statement may verify the owner’s home, but not the LLC’s principal place of business. The registered agent receives legal notices; it is not automatically the company’s operating office.

Four addresses, four separate jobs

Some companies use the same location for several roles. Others do not. A Wyoming LLC managed from Lisbon may have a Wyoming registered agent, a Portuguese principal place of business and a separate US mailing address. None of that is contradictory when the application labels each address accurately.

In practice, many platforms accept the registered-agent address as the legal address or registered address because it is the address shown in the state formation record. The mistake is using it again as the operating address when no business is conducted there. An operating address may be an office, coworking space or the owner’s home, and it may be outside the United States when the provider and product support an international operating footprint.

The wrong approach is to repeat the registered-agent address everywhere simply because it appears on the formation document. The right approach is to preserve the legal address and separately disclose the real operating and residential locations requested by the provider.

Registered office and principal place of business are not interchangeable

Provider rules illustrate the difference. Mercury currently says that an eligible US company may have a US or international principal place of business. It accepts a commercial or residential operating address, but excludes registered-agent addresses, PO boxes and UPS Store addresses from that role.

Relay’s published onboarding requirements ask an LLC for a physical US business address. When the legal address belongs to a registered agent, Relay also asks for a separate operating address where business activity takes place. Its exact eligibility review remains provider-specific, but the address model is clear: legal presence and daily operations answer different questions.

Wise collects both a registered address and a trading address. The registered address reflects the company record. The trading address is where work happens day to day and may be an office, home, shop or coworking space. Wise says the two may be in different countries, while its trading-address policy excludes PO boxes, mail-forwarding services, virtual offices, lawyers’ offices and formation agents.

These examples do not create one shared rule for every provider. They show why provider selection belongs at the start of the process. A remote LLC should apply through a route that fits its actual footprint rather than alter its story to fit a form.

The owner’s home address belongs to the personal verification layer

Financial providers also identify the people who own or control a company. FinCEN’s customer due-diligence framework separates verification of a legal-entity customer from the collection of beneficial-owner and control-person information.

An application may therefore request all of the following:

  • the LLC’s business address;
  • the authorised representative’s residential address;
  • the home address of each relevant beneficial owner;
  • a card-delivery address;
  • a mailing address for notices.

For a non-US owner, the residential field normally needs the person’s real foreign home address when the product permits international founders. That does not make the account personal. The LLC remains the customer and owns the business funds; the individual is proving identity and authority.

Shopify Payments provides a useful example. Its US requirements distinguish the business address from the representative’s home address. For certain private entities, a non-US representative without an SSN or ITIN can enter the correct foreign residential address and complete personal verification with a valid passport. The Payments account still requires an eligible US business profile. Separate products, including Shopify Balance, apply narrower address and identification conditions and should not be assumed to follow the same route.

Documents that can support an address

Accepted evidence changes by provider, country, applicant and address type. Common categories include:

  • a bank or credit-card statement;
  • a gas, electricity, water, fixed-line or broadband bill;
  • a current lease signed by the relevant parties;
  • business or personal insurance documentation;
  • a government-issued business licence or registry document;
  • a tax assessment or official tax correspondence;
  • an unexpired ID showing an address, where accepted.

A document only works if it proves the address being asked about. The EIN confirmation letter primarily supports the LLC’s IRS name and EIN. Articles of Organization support state formation. An Operating Agreement supports ownership and governance. None should automatically be treated as current evidence of where the company trades.

Wise publishes detailed evidence standards for a trading address. The file should show the business or relevant owner/director name, full address, issue date and issuer. Its current guidance generally limits bank statements, utility bills, business licences and registration documents to three months, while some tax and insurance documents may be up to twelve months old. Shopify’s US Payments guidance lists business-address evidence issued within the previous six months. Recency is therefore checked against the live provider rule, not copied from a generic checklist.

Wise's current list accepts Revolut statements and excludes Mercury statements. Also check the name, address, age and completeness of the document. An accepted issuer does not replace those requirements; we help select evidence that clearly supports the requested address.

Each provider verifies a different layer

An address file prepared for one provider should not be uploaded unchanged to another:

This matrix is not a permanent acceptance promise. It records the evidence Exentax prepares first and prevents a stricter provider from receiving a file selected for a different onboarding model.

A reliable file passes five checks

Before uploading a document, Exentax verifies:

  1. Correct subject. The named person or company is the one whose address is under review.
  2. Exact location. Street, unit, city, postcode and country match the application.
  3. Permitted age. The issue date falls within the provider’s current window for that document class.
  4. Complete original. Every page, edge, issuer mark and required field is visible, with no alteration.
  5. Correct purpose. The file proves a residential, registered or operating address as requested, not a different fact.

An original digital PDF is usually stronger than a screenshot. A photograph of a paper document should be sharp, uncropped and free from glare. If the address is wrong, the underlying account or record is updated first. Exentax does not edit a genuine document to make it fit an application.

Where the Operating Agreement fits

An Operating Agreement records members, percentages, management and authority. It can be essential in a multi-member structure; Relay’s current LLC list, for example, calls for a signed agreement when the company has multiple members. Its primary purpose is not proof of address.

Form SS-4 requests an EIN. Use the IRS confirmation accepted by your bank to verify the assigned number.

Submitting every file in the company folder does not make an application stronger. A controlled submission uses the smallest complete set that answers the provider’s questions, then keeps the rest available for a targeted follow-up.

The website, invoices and business profile must support the same story

Address review does not happen in isolation. Providers compare the application with the company website, product or service description, contracts, invoices and expected payment flows. A remote company can have an international operating address. Its public and financial records simply need to describe that arrangement consistently.

  • legal name and trading name;
  • the activity in the application with the offer shown online;
  • public legal details with the correct company address;
  • billing details used with customers and suppliers;
  • expected markets, currencies and volumes;
  • bank-account ownership;
  • domain email and working phone number.

This does not require publishing an owner’s home address. Personal evidence stays inside secure verification channels. Public pages use the entity information that is legally and commercially appropriate.

Keep the evidence current after approval

Addresses change. An owner moves, the company adds an office, fulfilment shifts or correspondence is redirected. A controlled update starts with the new supporting evidence and then coordinates the provider account, payment gateway, invoicing and any relevant public record.

It is also worth maintaining a review date. A statement that worked during onboarding may be too old six months later. The active company file should include recent evidence for every material operating and residential address alongside the permanent formation and EIN documents.

Questions about proof of address for an LLC

Can I use the registered-agent address as proof of address?

It can support the registered address when the provider accepts formation evidence. It should not be presented as the operating address unless genuine operations occur there. Mercury, Relay and Wise each publish a distinction between these roles.

Can a non-US owner use a home address outside the United States?

For some products, yes. Mercury permits an eligible company’s principal place of business to be in the US or abroad, and Wise can accept registered and trading addresses in different countries where service is supported. Other products require a physical US address. Eligibility is checked before submission.

Must the utility bill be in the LLC’s name?

Not in every case. Some providers accept a document in the name of a significant owner or director when the business is run from home. Others require business-issued evidence. The name, address and relationship must fit the exact rule.

Is a virtual office enough?

It may serve a mailing or registration purpose, but several providers exclude virtual or forwarding services from the operating-address field. It cannot replace a physical location when the form asks where the business is actually managed.
